Each client system, whether a website, an application or an internal tool, is recorded with its purpose, its live and staging environments, and the access details that go with them. Credentials are stored securely and revealed only when needed, so the team always knows where a system lives and how to reach it, without hunting through old messages.

Domains, services and subscriptions, tracked as one thing
Domains, SSL certificates, business email, cloud hosting and other third-party services are all managed the same way: recorded once, linked to the client, and given a validity period and expiry date. A domain can be booked and tracked even before a system is built around it, and services can be attached to a system whenever the time is right.

Nothing lapses unnoticed
Every paid service carries its renewal date, and Stack sends reminders in good time, to the team and, where appropriate, to the client, well before anything expires. Renewals due soon are surfaced in one list, so the team acts ahead of time rather than reacting to an outage.

From renewal to invoice, in a few clicks
When a service is due, Stack turns it into a quote or invoice in Zoho Books for the correct billing entity, applies the right GST treatment and sends it to the client, with no re-entry. Once a proforma becomes a tax invoice and payment is received, that status flows back automatically, so the team sees what has been billed and paid without switching systems.

Provisioning, done deliberately
A renewal is only complete when the service is actually extended. Stack keeps provisioning as a clear, separate step: once an invoice is settled, the team marks the service provisioned, the new validity is applied to the exact date the invoice reflects, and the client is notified that their service is active for the next term. Nothing renews on paper without renewing in reality.

Ascent’s own products, managed too
For businesses running Ascent-built applications, Stack also tracks each deployed instance, its environment, version and licence, and can check in with the live application, so the team knows what is running where and what needs an update.

A window for your clients
Through a secure portal, each client can sign in and see the systems, domains and services Ascent manages for them, with validity and renewal dates in plain view. It turns a scattered set of vendors and invoices into a single, transparent relationship, and reveals a sensitive detail like a password only when the client asks for it.
