In most growing schools, fees do not become difficult because of the amounts involved. They become difficult because the process grows one spreadsheet, one payment link and one branch at a time. Student details are repeated in every fee file, payments arrive through different channels, and each centre keeps its own version of the truth.
Admission payments, term fees and uniform orders sit in different places, so answering “what has this family paid?” means piecing records together.

Each student is recorded once, with their class, centre and both parents’ contact details, and every payment links back to that record. Students can be added individually or imported in bulk, so a school’s existing register can be brought across in one step. Historical records are preserved as they are, so years of fee history stay intact and usable.
Before each term, the school downloads a pre-filled template, adds the fees due for each student, and uploads it with the period and the last date of payment. Parents see the amount due immediately. The breakdown of each statement, from tuition and session fees to adjustments, is one click away for both the school and the family.
When the last date of payment passes, Classly applies the late fee to every statement that is still unpaid, at the time the school chooses. Families who have paid are never charged, no unpaid statement is missed, and the updated amount is what the parent sees and pays.
A simple payment link lets families pay admission or other one-time fees before the child has a student record. Once the child is enrolled, the school links that payment to the student, and it appears alongside the rest of the family’s history for both the school and the parent.
Cash, cheque and bank transfer payments are recorded against the right statement in seconds, with a note of who recorded them and when. Every payment, online or offline, follows the same trail.
Parents order t-shirts and jackets for each child by size, with a size chart and a live total, and pay in the same flow. The school manages prices centrally, sees every order and records delivery with a date and a note. The parent is notified automatically, with the branch team and leadership copied.
On a phone, the parent portal works like an app, with simple tabs for Academic fees, Uniforms and Payment history. Parents sign in with their mobile number and a one-time code sent by SMS, with no password to remember. They see the fees due for each child, pay securely online, download receipts and review everything they have paid, for all their children in one place.
Leadership sees every admission, academic fee and uniform payment across all branches, searchable and filterable by period, with unpaid records one toggle away. Each branch team sees only its own centre’s academic and uniform payments, in view-only mode. Leadership decides which fee periods each group sees, so screens stay focused as the years add up.
Classly keeps a log of every email and SMS it sends, from login codes to receipts and delivery notices, including whether each one was delivered or bounced. When a parent says a message never arrived, the school can check in seconds.
